The challenge

A QC process that had outgrown its tools

Every shipment Stafast receives has to pass quality control before the parts go into inventory. For years, that work ran on a Windows desktop application.

Dated and desktop-bound

A very old interface, installed on workstations and hard for new staff to learn.

Too many manual steps

Order intake, inspection depth, defect follow-up and notifications relied on people, not the system.

Disconnected from the ERP

Inspection outcomes needed to reach Dynamics 365 reliably so defects could be acted on.

25 years of history to keep

More than 85,000 inspection records across 4,800+ parts had to carry over and stay useful.

How it works

One flow, from the ERP to the warehouse floor and back

1
Orders arrive automatically

Purchase orders and voyages sync from Dynamics 365

Scheduled jobs pull orders, line items, suppliers and parts, including whole inbound shipments grouping several orders. New parts get their mandatory checks on the spot.

2
Goods reach the warehouse

The team marks the shipment as arrived

One confirmation opens the order for inspection and stamps the received date. Marking a voyage arrived opens every order inside it.

3
Guided inspection

Every part shows exactly what to check

Supplier history, critical-customer status and order size decide which dimensions to inspect and how many pieces to sample.

4
Recording results

Perfect, Good or Defected, in a few clicks

Large color bands make results fast to enter. A single defect fails the part and flags it for corrective action with the supplier.

5
Drawings in the browser

Mark up the specification PDF, right in the browser

The right drawing is found automatically, even for plating variants. Inspectors annotate it and save a time-stamped copy with the result.

6
One-click final submission

Report sent, order locked, ERP updated

A guided wizard emails the inspection report and receiving summary, then creates NCRs and QSRs in Dynamics 365 through a queue that retries on its own.

FAQ

Stafast QC Management FAQ

Answers to what teams ask about replacing a legacy QC tool with a Dynamics 365-connected platform.

Ask us directly

What did nopStation build for Stafast?

nopStation replaced Stafast's legacy Windows desktop quality control tool with a modern web platform for incoming-goods inspection. It is wired directly into Microsoft Dynamics 365, from the moment a shipment is ordered to the moment its inspection results land back in the ERP. It went live in October 2026.

What problems did Stafast's legacy QC tool have?

The old tool was dated and desktop-bound, hard for new staff to learn, and relied on too many manual steps for order intake, inspection depth, defect follow-up and notifications. It was also disconnected from the ERP, so inspection outcomes did not reliably reach Dynamics 365, and it held 25 years of inspection history that had to be kept.

How does the platform integrate with Microsoft Dynamics 365?

Purchase orders and landed-cost voyages sync from Dynamics 365 on a schedule, every 10 hours by default. When an order is finalized, NCRs and QSRs are posted back to the ERP through a resilient queue every 2 minutes by default. Failed calls retry automatically and items already posted are never sent twice. Administrators can adjust the schedules from the browser.

How does risk-based inspection work?

Reliable suppliers earn lighter inspection and problem parts get full scrutiny. Three clean deliveries in a row move a part to partial inspection, a single defect sends it straight back to full inspection, and critical-customer parts are always fully inspected. Starting levels were seeded from 25 years of legacy history.

What happens when an inspection is finalized?

A guided wizard emails the inspection report and receiving summary, locks the order, and creates NCRs and QSRs in Dynamics 365 through a queue that retries on its own. A single defect fails the part and flags it for corrective action with the supplier.

Was Stafast's historical inspection data kept?

Yes. More than 85,000 inspection records across 4,800+ parts, covering 25 years of supplier quality history, were carried over and now actively inform today's inspection decisions.

How long did the Stafast QC project take and which technologies does it use?

The project took fourteen months, from August 2025 to go-live in October 2026, built side by side with Stafast's QC team. The stack is ASP.NET Core on .NET 9, SQL Server and EF Core, Dynamics 365 OData, Microsoft Entra ID, Azure Blob Storage, Quartz.NET jobs and GitLab CI/CD.

Can Stafast manage the platform without developers?

Yes. Administrators manage users, email templates, schedules and ERP settings from the browser. Sign-in uses Microsoft Entra ID with self-registration, and access is controlled by 40+ granular permissions across four roles.
